Overview
Provide assistance to the planning and implementation of activities, processes and initiatives of the Field Support Section, particularly in relation to projects undertaken by the Corruption and Financial Crime Hubs. Perform general office assistance and administrative tasks in a multilingual environment.
Key Responsibilities
- Provide assistance to the planning and implementation of activities, processes and initiatives of the Section, especially in relation to the implementation of projects undertaken by the Corruption and Financial Crime Hubs.
- Provide general office assistance; respond to complex information requests and inquiries; review, log and route incoming correspondence; set up and maintain files/records; organize meetings, seminars and workshops at and away from headquarters; handle routine administrative tasks, such as maintaining attendance records.
- Provide administrative and programme support in a multilingual environment, using French and English to communicate with stakeholders, prepare documentation, coordinate meetings and ensure effective information flow across projects and organizational units.
- Serve as focal point for administrative coordination of programme/project implementation activities, involving extensive liaison with internal and external organizational units to initiate requests, obtain necessary clearances, process and follow up on administrative actions, e.g. travel arrangements, authorization of payments, disbursement of funds, and procurement of equipment and services.
- Compile and analyze basic data from a variety of sources (including from the in-house SAP database/Umoja), summarizing and presenting conclusions for review by the responsible programme officers.
- Assist in the preparation of programme/project budget proposals; Review project documents, especially cost plans/budgets, for completeness and compliance with relevant rules and procedures prior to submission for final approval and signature; identify inconsistencies; distribute project documents to relevant parties upon approval.
- Assist with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
- Provide guidance to less experienced staff on general office processes and procedures, computer applications, etc..
- Perform other work-related duties as assigned.
Required Experience
A minimum of five (5) years of work experience in programme/project administration and planning is required. The minimum years of relevant experience is reduced to three (3) for candidates who possess a first-level university degree or higher. Work experience in organization of meetings and trainings, including away from Headquarters, is required. Experience in working with ERP (Enterprise Resources Planning) based applications is required. Work experience with SAP/Umoja, Inspira or similar business process systems is desirable. Work experience in the organization of meetings and trainings in the field of crime prevention and criminal justice, or a related area, is desirable.
Qualifications
High school diploma or equivalent is required.
