Overview

The Programme Associate is responsible for supporting the Office Programme by performing a variety of standard administrative processes ensuring high quality and accuracy of work of WEE focused areas. The role promotes a quality and results-oriented approach and works in close collaboration with the Operations, Programme and projects staff team.


Key Responsibilities
  • Provide administrative and logistical support to the formulation and management of programmes, including preparation of work plans, budgets, and proposals.
  • Provide technical guidance on routine delivery and reporting of programme supported activities and finances.
  • Prepare information for programme audits and support implementation of audit recommendations.
  • Review programme data for the Jordan Country Office website.
  • Identify sources and gather/compile data and information for documents, guidelines, speeches, and position papers.
  • Provide administrative support to the financial management of the Country Office, including project creation, budget revisions, and financial close.
  • Monitor budget preparation and finances of programmes/projects.
  • Review financial reports and prepare non-PO vouchers.
  • Process payments for consultants and maintain internal expenditures control system.
  • Create requisitions and register good receipts in Quantum system.
  • Assist in the preparation and follow-up of cost-recovery bills.
  • Undertake logistical, administrative, and financial arrangements for meetings, workshops, events, and missions.
  • Make travel arrangements for the Programme Team.
  • Prepare public information materials and briefing packets.
  • Assemble briefing materials and prepare presentations.
  • Prepare cost-sharing and other agreements and follow up on contributions.
  • Organize, compile, and process information from donors, Country Office, and programme team for databases and documents.
  • Provide administrative support for synthesis of lessons learned and best practices.
  • Provide administrative support for the organization of training for office personnel and partners.
  • Perform other duties within their functional profile as deemed necessary.
Required Experience
  • At least 6 years of progressively responsible experience in administration or programme management/support is required.
  • Experience in working in a computer environment using multiple office software packages, specifically Excel is required.
  • Experience in supporting a programme management team is required.
  • Experience in working with national and implementing partners is required.
  • Experience in the use of a modern web-based ERP System, preferably Oracle Cloud, is required.
Qualifications
  • Completion of secondary education is required.
  • Bachelor’s degree in business or public administration is desirable.
