Overview

The Operations Analyst (Admin & Finance) will support the administrative and financial implementation of projects and initiatives for UN-Habitat in Brazil.


Key Responsibilities
  • Support the administrative and financial implementation of projects and initiatives, ensuring compliance with organizational policies and procedures.
  • Support the review, strengthening and monitoring of financial management processes, systems, internal controls and financial procedures.
  • Assist in budget planning, monitoring, and revisions, including tracking expenditures against approved budgets.
  • Review budget revisions and reallocations, ensuring compliance with donor agreements and internal policies.
  • Review the application of financial provisions contained in contribution agreements and donor regulations and provide recommendations.
  • Process and follow up on financial transactions, such as payments, advances, reimbursements, and vendor contracts.
  • Maintain accurate and up-to-date financial and administrative records for projects and operations.
  • Organize and archive all documents and information relevant to project administration.
  • Support the team through audits and other administrative and financial compliance checks.
  • Monitor financial reporting timelines and contribute to the preparation of financial reports for internal and external stakeholders.
  • Liaise with programme teams, finance, and operations units to resolve administrative and financial issues.
  • Support audits and financial reviews by ensuring availability and organization of required documentation.
  • Write official letters in Portuguese.
  • Assist with travel requests for the technical team, including travel requests and mission reports.
  • Be responsible for keeping information organized and accessible.
  • Participate in missions as requested.
  • Carry out other activities requested by the Head of Office and/or Program Officer within the framework of this consultancy.
  • Prepare reports to partners, internal reports, etc. at various stages of the projects.
  • Perform other duties which may be requested by the supervisor.
  • Complete all courses and training activities indicated by the supervisor.
  • Get familiarized with United Nations security mechanisms and comply with them.
Required Experience
  • A minimum of four (4) years of experience program’ implementation and projects in public administration or international organizations, admin and financial issues, and/or related areas is required.
  • Demonstrated experience in administrative and financial is required.
  • Work experience within the United Nations System is desirable.
  • International experience will be considered positively, particularly in the field of international cooperation for development, urban development, and project management.
Qualifications

Bachelor's degree in International Relations, Public Administration, Administration, Economics, or related fields is required, or additional three (3) years of relevant experience to the post, beyond the requirement.

Fluency in Portuguese and English is required.

Working knowledge of Spanish is desirable.
Contract Duration
Six (6) months, with possibility of renewal
