Overview
The Staff Assistant provides substantive and administrative support in managing priorities and work flow, and serves as a communications link between supervisor and senior staff.
Key Responsibilities
- Assists in the overall administration of the IIMA.
- Compiles and analyses basic data from a variety of sources.
- Serves as a communications link between supervisor and senior staff.
- Takes full responsibility for time management and scheduling on behalf of supervisor.
- Undertakes representational duties on behalf of the Head/Senior Legal Adviser.
- Screens and prioritises all incoming correspondence.
- Researches, compiles and summarizes background materials.
- Independently handles a wide range of complex information requests and inquiries.
- Establishes/improves administrative procedures and systems.
- Organises official receptions, meetings, etc.
- Prepares, processes and classifies confidential information.
- Handles a wide range of administrative duties/processes.
- Exercises quality control function for all outgoing documents.
- Uses standard word processing package to produce a wide variety of large, complex documents and reports.
- Manages, updates and further develops internal databases.
- Performs other duties as assigned.
Required Experience
At least seven (7) years of experience in general office support or related area is required. Out of these years, at least three (3) years in the United Nations or similar organizations is desirable. Working Experience in the use of ERP tools, such as Umoja and Inspira providing administrative support is desirable. Experience in a front office or as a Personal Assistant to senior-level officials within the United Nations or similar organizations is desirable.
Qualifications
High school diploma or equivalent.
