Overview

The Administrative Analyst will support the implementation of UN-Habitat projects and their activities in Brazil, providing administrative and operational assistance.


Key Responsibilities
  • Provide administrative support for project activities.
  • Support communication teams in engaging with local counterparts.
  • Organize project meetings and document them.
  • Collect data, legislation, and documents from municipal offices.
  • Organize and archive project-related documents.
  • Support receipt and distribution of correspondence and materials.
  • Assist with audits and compliance checks.
  • Maintain and update office inventory.
  • Request quotes for acquisitions.
  • Write official letters in Portuguese.
  • Support personnel selection processes and interviews.
  • Assist in receiving consultant reports and payroll procedures.
  • Assist in organizing events.
  • Assist with travel requests and mission reports.
  • Keep information organized and accessible.
  • Support project budget monitoring.
  • Liaise with Core Team for consultant database control.
  • Carry out specific activities and other tasks requested by the supervisor.
  • Support other administrative functions.
  • Participate in missions as requested.
  • Complete indicated courses and training activities, including BSAFE.
Required Experience
  • Minimum four (4) years of experience in administrative, secretarial, project management, operational and/or human resources activities in Brazil is required.
  • Professional experience with local governments and/or civil society and advocacy initiatives is desirable.
  • Familiarity with and interest in urban development, climate issues and the Organization's global urban agenda are desirable.
  • Previous experience within the UN System is desirable.
Qualifications
  • Bachelor's degree in Administration, Public Management, or related fields is required, or additional three (3) years of relevant experience to the post, beyond the requirement.
  • Postgraduate degree (Lato Sensu or Stricto Sensu) in Project Management, or related fields is desirable.
