Overview

The Administration and Finance Associate (AFA) will provide administrative and financial management support for project implementation under the guidance of the Project Manager.


Key Responsibilities
  • Assist in timely and effective implementation of HR and procurement plans.
  • Maintain accurate financial and personnel records.
  • Undertake quality assurance of project procurement.
  • Draft internal and external correspondence.
  • Support organizing workshops, seminars, and training.
  • Provide logistic support in organizing Project Board Meetings.
  • Maintain a filing system for the project.
  • Oversee day-to-day logistic/operation management.
  • Track progress in financial delivery of Grants/RPA.
  • Support in preparation of Annual Work Plan (AWP) and Quarterly Work Plan (QWP).
  • Assist in drafting Note to the file, Memorandum of understandings, and contracts.
  • Monitor and track various contracts.
  • Provide support to monitor budget expenditure.
  • Support preparation of quarterly and annual financial reporting.
  • Assist in preparing for project audit and responding to audit queries.
  • Provide training to implementing partners related to financial management.
  • Undertake other financial and administrative tasks.
  • Ensure Gender Equality and Social Inclusion (GESI) considerations are incorporated.
  • Provide support in the dissemination and sharing of relevant data and lessons learned.
  • Compile and systematize project knowledge, products, and tools.
Required Experience
  • Minimum of 6 years (with high school diploma) or 3 years (with bachelor’s degree) of progressively responsible Finance and Accounting experience at the national or international level is required.
  • Experience in the use of computers and office software packages (MS Word, Excel, etc) and advance knowledge of spreadsheets and web-based management systems such as ERP financials and database packages.
Qualifications
  • Secondary Education is required with specialized certification in accounting and/or Finance.
  • University degree in Finance or Accounting is desirable.
  • Part-qualified accountants from an internationally accredited institute of accountancy will have a distinct advantage.
  • Fully Qualified Accountant, from an internationally accredited institute of accountancy or Full Completion of the UNDP Finance Training and Certification Programme (FTCP).
  • No professional accountancy qualifications, but with degrees that major in accountancy and/or finance.
  • No professional accountancy qualifications but with relevant experience.
