Overview

The Financial Assistant (Project post) is responsible for supporting finance, cash management, and procurement activities under the supervision of the Financial Officer. This role assists in budget preparation, execution, and control, and ensures financial controls support financial statement production.


Key Responsibilities
  • Prepare regular budget execution reports.
  • Coordinate with procurement and contracting officers to ensure funds availability.
  • Process payment requests and resolve inconsistencies.
  • Collect, categorize, and track relevant information.
  • Maintain paper and electronic filing systems.
  • Ensure document and version control.
  • Type and format documents using standard software packages and ERP systems.
  • Maintain records of authorizations, commitments, and payments.
  • Support the preparation of Financial Statements and assist with annual audits.
  • Provide assistance in preparation of financial status reports.
  • Contribute to the continuous improvement of financial management tools and processes.
  • Support the financial team to execute the BGX budget.
  • Liaise with Project Managers regarding fund management.
  • Check credits for proposed commitments and propose transfers.
  • Prepare commitments of funds, purchase orders/contracts, and ensure payments are within limits.
  • Perform financial and procurement activities for third parties.
  • Process commitments, purchase orders, contracts, and payments.
  • Ensure the integrity of accounting records and reconcile balance sheet accounts.
  • Assist in Treasury and disbursing functions related to contributions.
  • Support project completion activities.
  • Work closely with BGX Project/Band Managers and BGX Divisions' members.
  • Liaise with national representatives, NATO HQ, and NATO Communication and Information Agency.
  • Maintain contacts with suppliers.
  • Perform other duties as required.
Required Experience
  • At least 3 years of experience in economics, accounting, business administration, finance, or related discipline.
  • Experience in budget preparation and control in the public sector or in an International Organisation.
  • Experience of assisting the preparation of financial statements in accordance with relevant accounting standards.
  • Experience of working in a financial management office that handles day-to-day finance transactions such as payments, invoices, receipts, expenses and financial records.
  • Practical experience in maintaining accounting records.
  • Experience in the use of Enterprise Resource Planning systems (ERPs).
  • Experience with Oracle E-Business Suite (desirable).
  • Experience of working in an international or multinational environment (desirable).
Qualifications
  • Higher secondary education.
  • A degree or equivalent professional qualification in economics, accounting, business administration, finance, or related discipline (desirable).

Languages Required
Possess English Level V (Advanced).
Languages Preferred
Possess French Level II (Elementary).
Contract Duration
Definite duration contract of three years’ duration.
