Overview

The Finance & Administration Associate will support the daily management of project activities, focusing on financial and administrative tasks for the Pro PALOP-TL SAI (Phase III) Management Unit and other countries. The role also involves facilitating knowledge building and ensuring corporate alignment with UNDP policies.


Key Responsibilities
  • Produce project financial reports as per UNDP rules and EU contractual requirements.
  • Ensure reconciliation of all accounts and financial reports.
  • Create requisitions in Quantum for development projects and register goods receipt.
  • Perform budget checks for requisitions, Purchase Orders, and invoices.
  • Maintain internal expenditures control system for the project.
  • Take timely corrective actions on unposted vouchers and invoices with budget check errors.
  • Implement M&E recommendations, particularly financial and administrative ones.
  • Support the organization of project trainings in beneficiary countries.
  • Contribute to relevant knowledge networks and communities of practice.
  • Collect, analyze, and present background information for UN Development Assistance Framework, Country Programme Document, and Country Programme Action Plan.
  • Present background information for country programme formulation, project documents, work plans, budgets, and implementation arrangements.
  • Perform other duties as necessary for the efficient functioning of the Office and the Organization.
Required Experience

Minimum of 6 years of experience (with secondary education) or 3 years (with bachelor’s degree) in project finance and administration is required. Experience using computers and office software (MS Word, Excel, etc.) and advanced knowledge of spreadsheets and web-based management systems, such as ERP financial systems and databases.

Qualifications

Secondary Education is required with specialized certification in accounting and/or Finance. University degree in Finance or Accounting is desirable. Part-qualified accountants from an internationally accredited institute of accountancy will have a distinct advantage. Fully Qualified Accountant, from an internationally accredited institute of accountancy or Full Completion of the UNDP Finance Training and Certification Programme (FTCP). Candidates with no professional accountancy qualifications, but with degrees that major in accountancy and/or finance must complete UNDP Finance Training and Certification Programme (FTCP), if recruited.
