Overview
Organizes and coordinates preparatory meetings, assists in drafting procedural notes, and ensures required services are available for meetings of subsidiary bodies of the Security Council.
Key Responsibilities
- Organizes and coordinates preparatory meetings with relevant offices and delegations regarding procedural and organizational arrangements for meetings of subsidiary bodies of the Security Council.
- Assists in drafting procedural notes for the chairpersons of subsidiary bodies of the Security Council.
- Ensures that all required services, including the availability and distribution of documents, and personnel are available in order for meetings of the Security Council's subsidiary organs to convene according to the schedule.
- Utilizes e-Delegate, g-Doc, ODS and iSCAD to track the status of and upload/download documents.
- Organizes and maintains reference material and background documents, including resolutions and decisions of the Security Council and its subsidiary bodies.
- Assists in the preparation of agenda items and material concerning the proceedings of the subsidiary bodies of the Security Council.
- Prepares the provisional agenda and UN Journal announcements for consultations/meetings of the subsidiary bodies of the Security Council.
- Undertakes research and provides reference materials for preparation of speaking notes and statements of chairs of subsidiary bodies of the Security Council.
- Ensures reports of committees and expert groups meet the UN document standards and coordinates with the documents control office for the reproduction of those reports.
- Prepares floor plan of seating arrangements in accordance with meeting requirements and UN protocol, when required.
- Drafts correspondence and notes.
- Maintains and updates filing and reference system regarding procedures and reference materials for the Security Council's subsidiary organs.
- Responds to queries from delegations and Secretariat officials.
- Performs a variety of administrative duties (e.g., leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g. travel requests, expense claims, vouchers, visa applications, etc.).
- Performs other duties as required.
Required Experience
A minimum of five years of experience in conference support or related area is required. The minimum years of relevant experience is reduced to 3 for candidates who possess a first-level university degree or higher. Experience in general office support and related area is desirable. Experience in organizing/arranging travel for officials is desirable. Experience in operating and maintaining databases and document management systems is desirable.
Qualifications
High school diploma or equivalent is required.
