Overview

Assisting in streamlining visa application services for specific caseloads and managing case files.


Key Responsibilities
  • Assist beneficiaries at the FAP Center and manage their case files.
  • Process visa applications, register appointments, create case files, and distribute them.
  • Conduct applicant interviews, record information, and ensure accuracy of reports.
  • Enter and verify data in the FAP case management software.
  • Organize and schedule appointments, including running reports and updating schedules.
  • Ensure the FAP case management system is updated with application data.
  • Lodge application documents in designated folders.
  • Assist and guide migrants in completing visa application forms and conduct remote completeness checks.
  • Provide accurate information to migrants, handle inquiries, and update them with announcements.
  • Organize applicant files according to instructions and IOM Service Standards.
  • Call families and principal applicants to answer questions and provide guidance.
  • Maintain records of applications and contacts, and assist with report preparation.
  • Inform supervisor of problems and suggest improvements.
  • Demonstrate understanding of FAP SoPs and maintain professionalism.
  • Maintain confidentiality of FAP-related matters and information.
  • Take action to mitigate fraud and malfeasance.
  • Flag vulnerable cases needing referral and protection support.
  • Handle hardship and medical cases, coordinate with relevant departments and the German Embassy.
  • Ensure general maintenance for the IOM FAP office building.
  • Coordinate with logistics, finance, and human resources units.
  • Organize and register missing documents.
  • Support German resettlement missions by filling forms, collecting documents, and ensuring data entry.
  • Receive files and original documents for legalization and ensure physical delivery to the Embassy.
  • Provide training and assistance to newly joined staff members.
  • Undertake duty travel when needed to support other offices.
Required Experience

School diploma with five years of relevant experience; or, Bachelor’s degree with three years of relevant professional experience. Previous work experience in international organizations and service industry companies and in non-government or government institutions/organization in a multi-cultural would be an advantage.

Qualifications

School diploma or Bachelor’s degree in Business Management, Client Services, Social Science, Engineering Science or related field from an accredited academic institution.
