Overview

The Support Service Officer is responsible for managing financial, administrative, HR, supply chain, and premises/warehouse support functions at the field level, ensuring compliance with DRC policies and procedures.


Tasks Summary
  • Ensure timely and accurate payment processing for vendors, staff, and casual workers.
  • Keep daily and monthly cash books updated, perform regular bank reconciliations, and oversee cash counts.
  • Process and reconcile staff advances.
  • Ensure all payments are accurately coded and recorded in DYN.
  • Assist in preparing monthly financial reports and support audits.
  • Ensure tax, pension, and other statutory deductions are calculated correctly and paid on time.
  • Maintain an organized and auditable filing system for all financial documents.
  • Support recruitment activities at the field level.
  • Maintain accurate staff records, track leave, and manage contract documentation.
  • Assist with monthly payroll inputs.
  • Coordinate staff inductions and orientations.
  • Verify staff registration with the government pension scheme and possession of ID cards.
  • Follow up on HR-related correspondence with the Country Office HR team.
  • Oversee office utilities, manage lease agreements, and maintain a clean work environment.
  • Organize meetings, workshops, and travel arrangements.
  • Supervise compound management and ensure sufficient supplies.
  • Assist with stock receipt, recordkeeping, and proper storage.
  • Assist in performing regular inspections of premises and supplies.
  • Ensure inventory forms and casual contracts are appropriately documented and stored.
  • Manage all procurement activities at the Field office.
  • Lead the development of the procurement plan and implementation process.
  • Ensure a tracker is maintained for all procurement requests and shared weekly.
  • Participate in Project Management and Budget Follow-Up meetings and provide updates.
  • Ensure accurate filing systems for supply chain activities.
  • Timely process payments for completed goods, services, or work.
  • Ensure the logistics system is robust and flexible.
  • Conduct market surveys regularly.

Experience Requirements
  • At least 3 years of relevant experience in finance, administration, and HR roles, preferably within an NGO or similar environment.
  • Strong understanding of accounting principles and financial regulations.
  • Familiarity with ERP systems (e.g., DYN) and advanced skills in Microsoft Office, especially Excel.
  • In-depth knowledge of Ethiopian labor laws and administrative procedures.
  • Experience in HR practices, staff coordination, and logistics is preferred.

Qualification Requirements
  • University degree in Accounting, Business Administration, Human Resources, or other related fields.
  • Bachelor’s degree in Accountancy or other relevant qualification
Other Details

Languages Required: • Fluent spoken and written English

Languages Preferred: • Proficiency in (Somali, Affan Oromo)

Contract Duration: 12 Months (One Year)

Remuneration: Salary and conditions will be in accordance with Danish Refugee Council’s Terms of Employment for National employees
