Overview
The Finance and Administrative Assistant will be responsible for the smooth functioning of project administration and providing operational support to the project.
Tasks Summary
- Serve as focal point for coordination of project implementation administrative support activities.
- Provide general office management assistance and handle administrative tasks.
- Provide support to project-related missions and activities.
- Compile and prepare background information and tables for briefing and review sessions.
- Clear outgoing communications for conformity with established procedures.
- Compile, summarize and enter data on project delivery and draft related status reports.
- Maintain an overview of the financial situation of the project and prepare and modify budget data.
- Perform administrative tasks using ILO’s Integrated Resource Information System (IRIS).
- Assist in drafting the Terms of References of external collaborator contracts and follow up on contracts.
- Maintain and update relevant databases/records/registers/control plans.
- Draft substantive correspondence on project activities and briefing notes.
- Contribute to communication activities, preparation of technical reports and documents.
- Liaise with concerned ILO constituents, implementing agencies and donors.
- Maintain up-to-date directories.
- Arrange internal and external meetings and appointments.
- Take notes and/or minutes at meetings and provide informal interpretation and translation.
- Process all project payments ensuring accuracy and documenting all financial transactions.
- Perform other relevant duties as assigned.
Experience Requirements
At least five years of relevant work experience.
Qualification Requirements
Completion of secondary school education.
