Senior Project Associate – Document verification

Overview

Oversees document verification activities in Addis Ababa and in the field, ensuring high-quality work and accurate completion of verification activities.

Tasks Summary
  • Coordinate a team of up to five staff members undertaking document verification activities.
  • Coordinate and undertake staff development processes including hiring, training, and performance feedback.
  • Liaise with embassies to streamline day-to-day activities.
  • Coordinate and supervise document verification activities and ensure timely completion and reporting.
  • Monitor the preparation and submission of official letters to facilitate document verification.
  • Perform document verification activities as requested by embassies and submit timely reports.
  • Prepare cost breakdowns and invoices for document verification activities.
  • Notify supervisor about tasks performed and challenges.
  • Prepare weekly, monthly, quarterly, and annual document verification reports.
  • Facilitate raising of Purchase Order and Payment requests.
  • Attend meetings and workshops on document verification and represent IOM.
  • Conduct field trips to monitor and evaluate document verification activities.
  • Perform other duties as may be assigned.
Experience Requirements
  • University degree in social science with four years of relevant experiences on Immigration and Visa processing, vital event registration and processing, and fraud detection.
  • High school diploma with six years of relevant experiences on Immigration and Visa processing, vital event registration and processing, and fraud detection.
  • Relevant years of professional experience in Immigration and Visa processing, vital event registration and processing, and fraud detection.
  • Experiences in data recording and management, document verification, third-country resettlement, family unification, and other humanitarian admission.
  • Proven ability to establish and maintain strong working relations with relevant Government, UN-agencies, different countries' embassies, and international organizations.
  • Appreciation of different cultures, languages, beliefs, Sex and diversity.
  • Experience in working with humanitarian agencies, especially the UN agencies, I/NGOs, supporting refugees is essential.
  • Thorough knowledge and experience in using Microsoft Office packages (Outlook, Word, Access, and Excel) is required.
