Overview

The Administrative and Data Assistant will develop tracking tools, generate reports and KPIs, optimize systems, and provide administrative support under the Head of Administration.

Tasks Summary
  • Design and develop tracking tools for financial transactions, HR processes, deadlines, and procurement requests.
  • Build and maintain databases for efficient data storage and retrieval.
  • Ensure data accuracy, consistency, and security.
  • Automate data collection processes.
  • Develop standardized reports for Finance, HR, and Administration.
  • Create dashboards and visualizations to track Key Performance Indicators (KPIs).
  • Provide data-driven insights and recommendations.
  • Support the preparation of ad-hoc reports.
  • Improve existing tracking systems by automating processes.
  • Work closely with the Information Management team for policy compliance.
  • Train staff on developed tools and databases.
  • Provide technical support and troubleshooting.
  • Assist in the preparation of vacancy announcements.
  • Assist in planning, organizing, and administering recruitment tests.
  • Assist in sending rejection/regret letters and other HR actions.
  • Assist in updating the recruitment Roster.
  • Assist in recording and maintaining Petty Cash or Imprest account records.
  • Perform other administration-related tasks.
Experience Requirements
  • Up to 2 years of relevant experience in information systems, or related field at the national or international level is required.
  • Experience in data management reporting and data analytics is required.
  • Experience in data collection, analysis, reporting and presentation using Office 365 suite mainly excel and PowerPoint is required.
  • Proficiency in Microsoft Excel, SQL, Power BI, or other reporting tools is required.
  • Familiarity with HR and finance processes is an advantage.
  • Strong analytical and problem-solving skills is desirable.
  • Attention to detail and accuracy in data management is required.
  • Proven ability to design and improve tracking systems.
  • Strong organizational and time management skills.
  • Excellent communication and reporting abilities.
  • Ability to work independently and collaboratively.
  • Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively.
  • Ability to work and adapt professionally and effectively in a challenging environment.
  • Ability to work effectively in a multicultural team of international and national personnel.
  • Solid overall computer literacy, including proficiency in various Microsoft Office applications (Excel, Word, among others), email, and internet; familiarity with database management; and office technology equipment.
  • Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines.
Qualification Requirements

Bachelor's degree in business administration, Information Systems, Data Analytics, or a related field.

Work Modality: Onsite

Remuneration: A Volunteer Living Allowance (VLA) of ILS 5384.12 is provided monthly to cover housing, utilities and normal cost of living expenses. Life, health and permanent disability insurance are included (health insurance for up to 3 dependents), as well as Exit allowance for satisfactory service
