Overview

Provides project and administrative support for the implementation of projects within the Energy and Environment Portfolio, ensuring high quality and accuracy of work.

Tasks Summary
  • Assist in the coordination and implementation of project activities.
  • Provide support to monitoring and evaluation activities, data collection, and database updates.
  • Prepare progress reports, identify issues, risks, and propose solutions.
  • Participate in project activities, meetings, and events.
  • Assist in the organization of online and offline events and communication activities.
  • Ensure compliance with UNDP rules, regulations, policies, and procedures.
  • Support the organization and coordination of meetings, training sessions, workshops, and conferences.
  • Assist in managing project finances, processing invoices, and preparing budgets.
  • Assist in managing procurement processes, preparing tender documentation, and small procurements.
  • Draft terms of reference for consultants and contractors.
  • Assist project teams, experts, and consultants with travel and logistics.
  • Coordinate and organize trainings, field visits, missions, and conferences.
  • Maintain accurate electronic and paper filing, information, and records systems.
  • Assist in maintaining cooperation and communication with project partners and beneficiaries.
  • Maintain contact databases related to partners and beneficiaries.
  • Prepare official correspondences for national and international partners.
  • Support knowledge building, knowledge sharing, and capacity building activities.
  • Participate in training and organize briefings on internal procedures.
  • Provide support to other capacity building activities.
  • Disseminate and share relevant data and lessons learned.
  • Compile and systematize project knowledge, products, and tools.
Experience Requirements
  • Minimum six (6) years of working experience with secondary education OR three (3) years of working experience with a bachelor’s degree in Programme/project support or other related fields.
  • Proficiency in the usage of computers and office software packages (MS Word, Excel, etc.).
  • Experience with UN/UNDP or International organizations or Development organizations is desired.
  • Experience in organizing events (online and/or offline, including retreats, trainings, meetings etc.) is an asset.
  • Experience in performing administrative tasks (organizing duty travel, financial reporting, formal correspondence) is desired.
  • Experience in facilitating procurement processes is desired.
  • Experience with ERP systems (e.g. Quantum) is a desired skill.
Qualification Requirements
  • Secondary Education is required.
  • University degree (Bachelor’s degree) in Business Administration, Management, Economics, Human Resources, Finance, Accounting, Social Sciences, or other related fields will be given due consideration, but is not a requirement.

Languages Required: • Fluency in English is required. • Fluency in Ukrainian is required for local personnel.

Contract Duration: 1 Year with Possibility for extension
