Overview

The Common Premises Associate will ensure the effective and satisfactory provision and maintenance of common premises, including finance and administrative services to the UN House.

Tasks Summary
  • Assist Common Premises Manager in liaising with UN Agencies to assess needs and collect proposals.
  • Prepare annual Common Premises/Services work plan and budget.
  • Manage all Common Areas in the UN Building and adjacent territory.
  • Maintain an inventory of items in Supply Containers.
  • Process payments from the common services account and prepare invoices.
  • Support monitoring of cost-shared Common Premises personnel.
  • Responsible for expendable and non-expendable property and preparation of inventory reports.
  • Provide support in the dissemination and sharing of relevant data and lessons learned.
Experience Requirements
  • Minimum of 6 years (with secondary education) or 3 years (with bachelor’s degree) of experience in administration, logistics, finance and/or procurement or other related field.
  • Experience managing common services within government or international organization.
  • Experience in managing common facilities with national or international agencies.
  • Experience with international and national organization as well as UN experience.
  • Experience in processing payment and monitoring expenditures.
  • Experience in assets management and managing contract of LTAs and knowledge of procurement process.
  • Possession of working experience with UNDP in administration/financial.
  • Experience in the usage of computers and office software packages, advance knowledge of spreadsheet and database packages, experience in handling of web-based management systems.
Qualification Requirements

Secondary education is required, or University Degree in Business Administration, Public Administration, Finance, Development or equivalent field.

Languages Required: Fluency in Tetum and English Language is required

Contract Duration: 1 Year with Possibility for extension
