Overview

The UNV Administrative and Finance Assistant will provide administrative and financial support to the Caribbean Environment Programme at UNEP.

Tasks Summary
  • Initiate, review, process and follow-up human resource activities.
  • Respond to staff enquiries regarding entitlements and administrative procedures.
  • Oversee maintenance of vacancy announcement files and track recruitment status.
  • Assist in the preparation and review of financial and human resource proposals.
  • Monitor expenditures and compare with approved budget.
  • Assist in budget performance submissions and finalization of reports.
  • Prepare or customize financial reports from Umoja system.
  • Coordinate with other finance and budget staff.
  • Draft routine correspondence for administrative, financial, audit, and personnel matters.
  • Keep up to date on documents/reports/guidelines related to programme budgets.
  • Provide administrative support to the coordinator and/or Administrative Fund Management Officer.
  • Coordinate with service units and liaise with internal team members.
  • Perform other related administrative duties, including operational travel programme and monitoring accounts.
  • Assist with data collection, analysis, and preparation of presentations and reports.
  • Provide operational coordination and administrative services in Umoja for procurement projects.
  • Review and prepare requirements and scope of work for procurement.
  • Coordinate day-to-day administration of contracts with external contractors.
  • Maintain internal files and documentation for procurement activities.
  • Inspect and receive goods/services and perform asset management activities.
  • Process payment of contractors' invoices.
Experience Requirements
  • 5 years of progressive work experience in administration and finance.
  • Programme or Project management.
  • Procurement.
  • Work experience with UNDP or other development agencies is an asset.
  • At least one (1) year Experience in Environmental programmes.
  • At least one (1) year or more of experience in data analytics or related area is desirable.
  • Experience in the United Nations system or other comparable international organization is desirable.
  • Working experience with Enterprise Resource Planning (ERP), finance systems and International Public Sector Accounting Standards (IPSAS) is desirable.
Qualification Requirements

• Bachelor's degree in Business Administration, Finance, Economics and Accounting; International Development; Environmental Studies and/or other related fields.
