Overview

The Conference Assistant will provide administrative and logistical support to the Learning and Outreach team within the Advisory and Knowledge Unit, focusing on event logistics and financial transactions.

Tasks Summary

• Facilitate travel logistics for external participants, including coordinating travel and accommodation.
• Create travel requests and coordinate communication with the travel agency.
• Prepare travel spreadsheets, report on travel costs, and provide end-of-cycle support for reimbursements.
• Collect, review, and submit reimbursement documentation for participants.
• Provide support in planning conferences and workshops, including set-up, catering, audiovisual needs, and speaker arrangements.
• Assist in identifying and tracking opportunities to improve and streamline processes related to the travel cycle.
• Perform other duties as required by team needs.

Experience Requirements

• At least 5 years of relevant work experience in a large international organization or company.
• Proven experience with workflows and responsibilities associated with training and conference management, logistical support, travel, and procurement.

Qualification Requirements

• A bachelor’s degree in business administration or a related field or an equivalent combination of education and experience.

Other Details

Languages Required: • Fluency and strong communication skills in English, including the ability to draft, proofread and edit correspondence.

Languages Preferred: • Spanish; French; or Portuguese a plus
