Overview
The Programme Assistant is responsible for coordinating specialized and complex processes and activities to support the delivery of the Office's work programme, planning, and budgeting. The role provides procedural guidance to managers and staff.
Tasks Summary
- Monitor Regular Programme and Project budgets, ensuring proper allocation and reporting, and taking corrective action.
- Support budget holders in preparing Periodic Budgetary Reports (PBR), biennial Programme of Work and Budget (PWB), and related work plans.
- Prepare project budget revisions in consultation with budget holders.
- Respond to routine queries on programme and project matters and provide clarifications.
- Inform management and team members of processes, procedures, and timeframes for administrative services.
- Initiate correspondence to verify data and obtain additional information on transactions and budgetary matters.
- Review data quality and maintain office records and reference files.
- Compile and synthesize data to support financial analyses on programme/project activities.
- Generate periodic or ad-hoc management reports.
- Coordinate administrative and financial actions related to staff management, non-staff support, travel, payments, and procurement.
- Provide procedural guidance to junior Programme Assistants and other staff.
- Review and recommend improvements to programme/project administration procedures and processes.
- Perform other functions as required.
Experience Requirements
Four years of relevant experience in the provision of programme/projects support services.
Qualification Requirements
Secondary School Education.
