Overview

The Supply Chain Associate (Contract, Quality and Compliance) will provide administrative and procedural support to supply chain activities, focusing on processing and following up on procurement and other supply chain transactions to ensure timely delivery of quality goods and services.

Tasks Summary
  • Receive and consolidate procurement requisition forms, verifying information and compliance.
  • Assist supervisors with complex, higher-value purchases.
  • Prepare tender documents, solicit bids, and prepare bid analysis summaries.
  • Confirm terms of agreement, prepare relevant documentation, and coordinate authorizations.
  • Monitor open requisitions and follow up on timely delivery of goods and services.
  • Review vendor invoices, prepare payment requests, and coordinate timely payments.
  • Create and maintain physical and electronic records of documentation.
  • Conduct market surveys to identify potential new suppliers/service providers.
  • Keep track of contractual agreements and inform concerned parties for timely renewal.
  • Monitor office supplies and service, prepare requisitions, and coordinate utility invoice payments.
  • Provide briefing and technical guidance on procurement instructions and procedures.
  • Perform supply chain tasks related to property and asset management, warehousing, insurance, maintenance, and transportation.
  • Provide administrative support to Supply Chain Division activities.
  • Attend supply chain coordination meetings to take notes and share operational updates.
Experience Requirements
  • University degree with three years of relevant experience; or, completed high school/secondary school education with five years of relevant experience.
  • Experience in procurement and logistics and working with vendors and service providers.
  • Experience with asset management process.
  • Experience working with IOM/UN Procurement and Logistics Rules and Procedures is an advantage.
  • Experience working in an international organization is an advantage.
Qualification Requirements
  • University degree in Business Administration, Accounting, Logistics, Supply Chain Management or a related field from an accredited academic institution.
  • Completed High school / Secondary school education.
  • Certification in Procurement, Logistics or Supply Chain Management is an advantage.
Other Details

Languages Required: Fluency in English and Greek is required (oral and written).

Languages Preferred: Working knowledge of another official UN language (Arabic, Chinese, French, Russian, and Spanish) is an advantage.

Contract Duration: Up to 9 months
