Overview

The Aviation Assistant will report to the direct supervisor and over all to the Deputy Chief Air Transport Officer. The role involves coordinating security, medical, and security evacuations, ensuring aircraft safety, and managing UNHAS operations with contractors.

Tasks Summary
  • Liaise with UNDSS and airport authorities to coordinate security, medical, and security evacuations.
  • Ensure security and safety of aircraft during night stops.
  • Coordinate with supervisor on UNHAS operations with contractors.
  • Liaise with MoCAA and Airport Authorities for overflight and landing permits.
  • Coordinate all UNHAS planned flights into the location.
  • Monitor and supervise ground handling contractors.
  • Distribute UNHAS scheduled flight plans and advise on check-in procedures.
  • Coordinate and monitor UNHAS flights for ETA, ATD, and security incidents.
  • Engage in UNHAS check-in processes for authorized passengers and cargo.
  • Be accountable for dispatch, departing, arriving, and connecting baggage, pouch & cargo.
  • Engage in dispatch processes, ensuring safety and proper handling of dangerous goods.
  • Ensure offloaded cargo is kept safely and coordinate with receiving stations.
  • Coordinate with service providers for invoices and deliver them for payment.
  • Coordinate with fuel services providers for UNHAS operations.
  • Maintain communication with passengers regarding flight delays or cancellations.
  • Ensure crew accommodation and support for stranded passengers.
Experience Requirements
  • At least five (5) years of experience with a secondary school certificate OR University degree (Diploma/Bachelor’s) with a minimum of two (2) or more years of experience in aviation-related fields.
  • Experience in handling flight processes and knowledge of aviation operations in the field.
  • Experience in dispatching flights from uncontrolled airfields and interpreting operational flight plans is required.
  • Experience working in the aviation section of an international organization is desirable.
  • Experience in Ground Operations, Ramp Safety, RFFS (Rescue and Fire Fighting Services), and Emergency Response is also desirable.
Qualification Requirements

Completion of secondary school education OR University degree (Diploma/Bachelor) in flight dispatch, aeronautical engineering, air traffic control, or other related fields.
