Overview
The Senior IT Program Officer enhances organizational effectiveness by overseeing coordination across ITSTO, supporting leadership decision-making, and ensuring timely execution of priorities. This role acts as a key focal point for organizational activities, aligning communications and strengthening operational flow.
Key Responsibilities
- Serve as the point person between ITSTO and leadership front offices, advisory teams, and other counterparts & key partners.
- Represent ITSTO in tactical meetings, distribution lists, and other communications channels.
- Lead the management of the flow of work, including the collection, coordination, and reporting of initiatives and updates.
- Oversee follow-through on actions, decisions, and commitments with leaders and teams.
- Accompany leaders to surface and distill action items, and maintain strategic awareness.
- Advise and shape leadership decision-making by managing content preparation.
- Steer leadership communications, oversee deadlines, and serve as an information source.
- Serve as the final point of clearance for ITSTO materials, ensuring accuracy, consistency, and effectiveness.
- Advise or mobilize teams if further consideration or adjustments are required.
Required Experience
- Master’s degree with 8 years of experience or a Bachelor’s degree with a minimum of 10 years of relevant experience, or equivalent combination of education and experience.
- Demonstrated experience serving as a central coordination point for senior leadership, including tracking actions, managing follow-ups, and driving closure.
- Proven ability to manage workflow across multiple teams (intake, prioritization, sequencing, and status reporting) in a fast-paced environment.
- Strong stakeholder management skills, including representing a unit in cross-functional forums and maintaining effective partnerships with front offices and advisory teams.
- Ability to prepare, synthesize, and quality-check high-visibility leadership materials (briefs, talking points, dashboards) to support timely decision-making.
- Sound judgment and attention to detail to provide communications clearance/quality assurance (accuracy, consistency, alignment with priorities, and deadlines).
- Excellent written and verbal communication skills, with the ability to distill complex issues and communicate clearly to diverse audiences.
- High sense of urgency, discretion, and professionalism when handling sensitive information and competing priorities under tight timelines.
