Overview
Facilitate the overall management of services related to the implementation of WFP programs and projects in Colombia, ensuring the inclusion of gender and protection approaches.
Key Responsibilities
- Maintain internal databases for the Cooperating Partner Management Team (FLA Follow-up, PRCB creation registry, SOAs, PODAs, MPOs) updated.
- Ensure the creation of Requisitions (PRCBs, SOAs, PODAs) for FLAs and Amendments.
- Act as focal point for vendor creation according to WFP requirements.
- Guarantee the provision of expenses for all Cooperating Partners by established dates using WFP corporate tools (MODA).
- Send monthly alerts and notifications for expense provisions to be registered by Cooperating Partners.
- Upload FLAs in COMET for all signed agreements to ensure traceability and follow-up of OAs and Oss.
- Perform service entries or Service Entry Sheets (SES) for the legalization of resources for Cooperating Partners in the WINGS corporate platform and maintain a systematic record of expenses reported by Cooperating Partners.
- Conduct quarterly follow-up in COMET on activity reports and indicators (Completion Report) by Cooperating Partners in line with the FLA.
- Coordinate training sessions for Cooperating Partners based on the Cooperating Partner Management Team's schedule and maintain traceability.
- Ensure the allocation of resources to Cooperating Partners implementing Canteen projects through the platform assigned by the provider.
- Perform other required tasks.
Required Experience
- Minimum five (5) years of progressive experience in administrative work.
- At least one (1) year of specific experience in project implementation follow-up.
- Experience using computers and the Office package (Word, Excel, PowerPoint, etc.) for word processing.
- Desirable experience working with SAP systems.
- Desirable general knowledge of United Nations administrative regulations and processes.
Qualifications
- Completion of secondary education cycle.
- Desirable: Professional in social, economic, and administrative sciences.
