Overview
The Information Management Officer provides advisory services on document management practices, researches and evaluates new IT applications for archives and document management, and participates in projects to improve archiving and document management systems.
Key Responsibilities
- Provides advisory services on document management practices, including needs analysis, operational processes, organization and maintenance of UN information assets, preservation and disposal of records, and information management policies and procedures.
- Researches, analyzes, and evaluates new IT applications in archives and document management, and makes recommendations for their deployment.
- Participates in projects to improve archiving and document management systems, contributing to feasibility studies, system analysis, design, development, implementation, and evaluation.
- Designs training materials and user manuals, and trains staff on the use of assigned document management systems.
- Understands, maintains, and applies document preservation techniques and strategies, ensuring storage facilities meet environmental standards.
- Manages archival processing activities, ensuring compliance with preservation standards, international bibliographic standards, description standards, and database standards.
- Executes and supervises reference functions, advising users on archival holdings and accessibility.
- Evaluates the adequacy of existing document management and reference tools, and implements new information management technologies.
- Maintains access and declassification standards in liaison with document-producing offices.
- Participates in the development and implementation of client outreach strategies and conducts user awareness and education programs.
- Contributes to program administration, including assisting or supervising contract and general service staff, formulating consultant and institutional contracts, and developing program budgets.
- Collects and analyzes data to identify trends or patterns and provides analysis using data visualization methods.
- Supports needs assessment and analysis activities, including humanitarian needs overviews, secondary data reviews, and rapid multi-cluster initial assessments.
- Produces and updates information products such as reports, charts, and infographics.
- Manages content of relevant web platforms, ensuring overall platform quality control and that content is current, complete, and compliant with relevant metadata standards.
- Ensures that requirements and reference information used for data analysis are duly documented.
- Performs any other related tasks as required.
Required Experience
- A minimum of five (5) years with a Master's degree or seven (7) years with a Bachelor's degree of progressive professional experience in modern archives management, records management, librarianship, information management, or a related field is required.
- Two (2) years or more of experience in data analysis or a related field would be an asset.
- Experience in field information management in the context of disaster response or complex emergencies is required.
- Experience in information management within the humanitarian programming cycle would be an asset.
Qualifications
- Advanced university degree (Master's or equivalent) in Archives Management, Information Science, Information Systems, Social Sciences, or a related field is required.
- An undergraduate degree combined with two (2) additional years of qualifying experience may be accepted in lieu of the advanced degree.
- Possession of a degree or certificate in Data Analytics, Business Analytics, or Data Science would be an asset.
