Overview

The Information Management Officer provides advisory services on document management practices, conducts research on information technology applications, and participates in projects to improve archiving and document management systems.


Key Responsibilities
  • Provides advisory services on document management practices, including needs analysis, operational process organization, and information asset maintenance.
  • Conducts research and evaluates new IT applications for archives and document management.
  • Participates in archiving and document management system improvement projects.
  • Designs training materials and user manuals, and trains staff on document management systems.
  • Manages archival processing activities, ensuring adherence to preservation and bibliographic standards.
  • Executes and supervises reference functions, advising users on archive holdings.
  • Evaluates existing document management and reference tools and implements new technologies.
  • Maintains access and declassification standards in liaison with document-producing offices.
  • Participates in the development and implementation of client outreach strategies.
  • Contributes to program administration, including assisting and supervising contract staff.
  • Collects and analyzes data to identify trends and provide analyses using data visualization methods.
  • Supports needs assessment and analysis activities, including humanitarian needs overviews.
  • Produces and updates information products such as reports, charts, and infographics.
  • Manages content of relevant web platforms and ensures overall platform quality control.
  • Ensures that data analysis requirements and reference information are properly documented.
  • Performs any other related tasks as required.
Required Experience
  • A minimum of five (5) years (for Bachelor's degree) and seven (7) years (for Master's degree) of progressive professional experience in modern archives management, document management, librarianship, information management, or a related field is required.
  • Proficiency in KoboToolbox, Power Bi, ARC/GIS, Excel, and other data management software is required.
  • Two (2) years or more of experience in data analysis or a related field would be an asset.
  • Experience in field information management, in the context of disaster response or complex emergency situations, is required.
  • Experience in information management within the humanitarian programming cycle would be an asset.
Qualifications
  • Advanced university degree (Master's or equivalent) in Archives Management, Information Science, Information Systems, Social Sciences, or a related field is required.
  • A first-level university degree combined with two (2) additional years of qualifying experience may be accepted in lieu of a Master's degree.
  • Possession of a degree or certificate in Data Analytics, Business Analytics, or Data Science would be an asset.
