Overview
The Management Services Associate (G6) provides advanced technical and administrative support for internal services management, ensuring quality, compliance, efficiency, and continuity of operations. The role involves implementing procedures, maintaining records, monitoring indicators, and coordinating daily with providers and internal units.
Key Responsibilities
- Maintain asset inventory, including registration, coding, tracking, and reconciliations.
- Manage consumables, supplies, and equipment stocks.
- Support coordination of preventive and corrective maintenance.
- Track interventions of service providers for air conditioning, electricity, plumbing, and energy.
- Ensure technical records and certificates of conformity are updated.
- Collect data on water, energy, and fuel consumption.
- Support "green office" initiatives.
- Document environmental indicators and prepare compliance reports.
- Ensure logistics for meetings, workshops, and events.
- Manage daily office operations including cleaning, security, reception, and mail.
- Track service contracts for security, cleaning, maintenance, and leases.
- Manage physical and digital documentation, databases, and subscriptions.
- Assist teams with documentary research.
- Manage official requests, verbal notes, diplomatic clearance, and appointments.
- Prepare, book, and confirm travel arrangements.
- Maintain fleet records, including logbooks, fuel consumption, and mileage.
- Organize daily vehicle allocation based on internal requests.
- Prepare budgets and activity reports.
Required Experience
At least six (6) years of administrative experience in several of the listed areas.
Qualifications
• Bac +2/3 in administration, management, engineering, or a related field.
