Overview

Provide dedicated executive assistant support to the Deputy Country Director, manage their agenda, coordinate meetings, and oversee administrative movements and trips. The role involves maintaining systems, preparing reports, and responding to business support queries to ensure effective operations.


Key Responsibilities
  • Provide dedicated executive assistant support.
  • Manage DCD Agenda and coordinate with other stakeholders’ on the preparation of key documents before meetings.
  • Coordinate with Fleet and admin units for DCD office movement in town and trips both inside and outside the country.
  • Take responsibility for the maintenance of set standard systems and files, to ensure information is accurate and readily available for the function.
  • Prepare and/or consolidate comprehensive reports, documentation, correspondence, briefing notes, etc. and conduct research in the area of work.
  • Actively seek and use feedback to improve business processes and procedures.
  • Respond to complex business support queries in order to provide a timely and accurate resolution of enquiries for clients.
  • Oversee the maintenance of records and databases to ensure information is organized and readily available for staff and compliant with all relevant regulations and policies.
  • Revise and review correspondence and documentation, providing feedback and making amendments where appropriate, to contribute to production of these materials to time and quality standards.
  • Assess and recommend improvements to procedures and practices, to contribute to the effective delivery of business support services.
  • Provide a full range of complex business support services to staff to contribute to the effective functioning of business operations.
  • Perform other duties as required.
Required Experience

Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.

Qualifications

Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

Languages Required
Fluency (level C) in English language. Fluency in both oral and written communication.
Languages Preferred
Fluency (level C) or intermediate knowledge (level B) of another official language (French) may be required depending on the location of the post or area of responsibility.
