Overview
Provide senior executive support to the Chief Operating Officer (COO) and manage information and knowledge within the directorate.
Key Responsibilities
- Manage the COO’s schedule, arrange meetings, appointments, and ensure information is prepared for engagements.
- Handle correspondence and communication, including drafting emails and letters for the COO.
- Coordinate travel arrangements and accommodations.
- Take minutes of internal meetings.
- Work in close collaboration with the Administrative Assistant to manage generic mailboxes and calendars.
- Organize and coordinate large meetings and conferences while contributing to office administration best practices.
Required Experience
- At least three years of post-related experience with higher vocational training in a relevant discipline.
- Five years of post-related experience with secondary education.
- Proven abilities to build relationships with diverse stakeholders and maintain confidentiality.
- Strong planning, organizational, problem-solving, and time management skills.
- Advanced competency in Microsoft Office Suite (Word, PowerPoint, Excel).
- Experience in drafting accurate minutes and applying office administration improvements.
- Prior work experience in an international environment with a mix of civilian and military personnel.
- Knowledge of SharePoint or similar tools.
Qualifications
- Higher vocational training in a relevant discipline.
- Secondary education.
