Overview
The Executive Associate will manage the functions of the Chief of Mission's office, including correspondence, scheduling, and administrative actions.
Key Responsibilities
- Manage and monitor complex correspondence and documentation, ensuring appropriate routing, reply, prioritization, accuracy, consistency, informal translation and timeliness.
- Serve as a reference point regarding the duties of the office, answering substantive questions and drafting correspondence.
- Conduct research and prepare briefing material for the Chief of Mission.
- Manage the calendar for the Chief of Mission, schedule appointments and meetings, and arrange travels.
- Interact with staff to ensure timely submission of inputs to publications and reports.
- Serve as a contact person between the Chief of Mission and senior staff.
- Coordinate logistic arrangements for meetings with high-level officials.
- Coordinate, monitor, and process administrative actions in IOM's computerized systems.
- Provide guidance to staff on administrative issues and train other office support staff.
- Review systems and processes and formulate proposals for improvements.
Required Experience
- Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook.
- Attention to detail, ability to organize paperwork in a methodical way.
- Discreet, details and clients-oriented, patient and willingness to learn new things.
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
Qualifications
- High school diploma with seven years of relevant experience; or,
- Bachelor’s degree in Business Administration or related fields from an accredited institution with five years of relevant professional experience.
