Overview
The Procurement Buyer will provide transactional and operational procurement support to Programme and Operation Units within UNDP Indonesia. The position is primarily execution and compliance-focused, ensuring procurement cases are processed accurately and on time.
Key Responsibilities
- Ensure accurate implementation of procurement transactions in full compliance with UNDP rules, regulations, policies and SOPs.
- Support the procurement team in maintaining high standards of accuracy, documentation completeness, and process compliance.
- Carefully review procurement documents to ensure correctness of specifications, quotations, vendor information, pricing, delivery terms, and budget availability.
- Support the preparation and monitoring of procurement plans for projects and programme.
- Lead and managing procurement processes including Micro Purchasing Canvas (MPC), Request for Quotation (RFQs) and Other modality as applicable and under supervision.
- Conduct systematic quotation comparisons, ensuring logical price analysis, compliance with requirements, and clear documentation.
- Prepare Purchase Orders (POs), contracts, and recurring purchase orders under established procedures and delegated authority.
- Support documentation and submissions for oversight review and approval.
- Follow up on procurement issues, including budget check errors, system alerts, and vendor-related clarifications.
- Prepare routine procurement correspondence, internal notes, and status updates.
- Act as a first operational contact point for project, programme and operations colleagues on assigned procurement cases.
- Coordinate with suppliers to clarify documentation, delivery schedules, and administrative requirements.
- Escalate issues in a timely manner while maintaining professional and solution-oriented communication.
- Maintain structured records of procurement documents, supplier information, and transactional history.
- Support internal knowledge-sharing initiatives by documenting common issues, practical tips, and procedural improvements.
- Support ad-hoc briefings or guidance on procurement procedures when requested.
- Uphold the highest standards of integrity, confidentiality, impartiality, and accountability.
- Ensure procurement actions respect UNDP’s Sustainable Procurement.

Required Experience
- Minimum 3 years of relevant work experience in procurement, purchasing, accounting, finance, or supply chain.
- Experience in transactional, document-based, or compliance-sensitive roles is highly desirable.
- Practical experience assisting with procurement transactions, such as RFQs and quotations analysis, purchase orders, contract creation and management, or vendor coordination is an asset.
- Exposure to procurement of technical goods, services, or works (e.g. equipment, engineering services, infrastructure-related activities) is an asset.
Qualifications
Bachelor's degree in relevant field (eg. accounting, finance, business administration, supply chain management, Logistics, Engineering etc)
