Overview
Provide administrative functions of a responsible and confidential nature to members of the Board of Directors, be responsible for day-to-day office administration and coordinate internal and external communication while maintaining confidentiality and practice professional discretion, as well as technical and analytical support services.
Key Responsibilities
- Coordinate internal and external communications, including screening calls, responding to memos, and preparing correspondence.
- Coordinate visits and provide assistance to visitors.
- Provide administrative support for schedules, meetings, travel, accommodation, and events.
- Ensure Director's Advisors' instructions are communicated and monitored.
- Prepare and coordinate trade missions and visits.
- Manage clearance workflows and track deadlines.
- Assist in maintaining and updating trackers.
- Coordinate onboarding/offboarding/admin setup for new colleagues.
- Compile statistical data, prepare reports, and perform research.
- Analyze Board proposals and summarize them.
- Lead the coordination and creation of the Constituency Annual Report.
- Assess Board documents and identify relevant areas.
- Attend relevant meetings and report back.
- Assist in preparing assessments of Board cases.
- Compile and prepare briefing/progress reports.
- Compile and interpret statistics.
- Prepare weekly reports.
- Handle classified information.
- Maintain office filing systems and records.
Required Experience
At least 5 years of relevant professional experience as executive assistant handling senior executives.
Qualifications
Bachelor's degree
