Overview

Provide administrative functions of a responsible and confidential nature to members of the Board of Directors, be responsible for day-to-day office administration and coordinate internal and external communication while maintaining confidentiality and practice professional discretion, as well as technical and analytical support services.


Key Responsibilities
  • Coordinate internal and external communications, including screening calls, responding to memos, and preparing correspondence.
  • Coordinate visits and provide assistance to visitors.
  • Provide administrative support for schedules, meetings, travel, accommodation, and events.
  • Ensure Director's Advisors' instructions are communicated and monitored.
  • Prepare and coordinate trade missions and visits.
  • Manage clearance workflows and track deadlines.
  • Assist in maintaining and updating trackers.
  • Coordinate onboarding/offboarding/admin setup for new colleagues.
  • Compile statistical data, prepare reports, and perform research.
  • Analyze Board proposals and summarize them.
  • Lead the coordination and creation of the Constituency Annual Report.
  • Assess Board documents and identify relevant areas.
  • Attend relevant meetings and report back.
  • Assist in preparing assessments of Board cases.
  • Compile and prepare briefing/progress reports.
  • Compile and interpret statistics.
  • Prepare weekly reports.
  • Handle classified information.
  • Maintain office filing systems and records.
Required Experience

At least 5 years of relevant professional experience as executive assistant handling senior executives.

Bachelor's degree
