Overview
Provide administrative support to the Head of Department, including planning meetings, managing the agenda, coordinating actions, and facilitating communication.
Key Responsibilities
- Planning meetings
- Managing the agenda
- Coordinating actions between units
- Facilitating communication and information sharing
- Follow-up and registration of mails in Ares
- Follow-up of deadlines for the Department
- Cooperation with corresponding colleagues in the units in RPP
- Secretarial support/backup when necessary to the RPP units
Required Experience
- At least 3 years of experience as a secretary.
- A good understanding of IT tools (Microsoft Office: Excel, Word, Outlook …).
- Experience as a secretary /administrative support in the European Institutions (desired).
- Knowledge of the main European Commission IT tools: Sysper (HR data management), Ares (documents register), Sharepoint (desired).
Qualifications
- A level of post-secondary education attested by a diploma OR
- A level of secondary education attested by a diploma giving access to post-secondary education, and appropriate professional experience of at least three years.
