Overview
The Team Assistant will provide administrative and secretarial support to ensure effective WHO country presence and cooperation strategies. The role involves managing correspondence, travel arrangements, and office supplies.
Key Responsibilities
- Receive, screen and process correspondence and requests, and follow up on implementation of all administrative actions.
- Type correspondence, reports, documents and presentations, and compose routine administrative correspondence.
- Make arrangements for duty travel, submit travel requests, and arrange flight and hotel reservations.
- Type documents and presentations for meetings, workshops, and training courses, and provide secretarial support during meetings.
- Screen and receive visitors and telephone calls, make appointments, and answer queries.
- Submit administrative transactions in GSM, including procurement, and follow up on deliverables and payments.
- Replace other assistants within the department, as required.
- Monitor and maintain office stationery supplies and keep a log of distribution.
- Maintain files and records relevant to office premises and maintenance.
- Maintain records of publication lists and track incoming and outgoing publications.
- Provide logistical and administrative assistance in support of the Office's activities/processes.
- Perform other duties, as required.
Required Experience
- At least three years of relevant secretarial/administrative experience.
- Relevant experience in the UN system is desirable.
Qualifications
- Completion of secondary education supplemented by secretarial/administrative training.
- University degree in business administration, social sciences or related field is desirable.
