Overview

The Project Associate will provide administration, logistics, and finance support to the project team, ensuring effective project work planning and implementation, and supporting reporting on project progress.


Key Responsibilities
  • Support project teams in work planning and implementation.
  • Analyze, research, summarize, and present project information.
  • Prepare project documents for approval.
  • Implement project standard operating procedures.
  • Prepare results-oriented progress reports.
  • Monitor project data, including outputs, resources, and deviations.
  • Identify and initiate follow-up actions for operational issues.
  • Provide administrative support for work plans, meetings, and project closure.
  • Serve as a focal point for administrative issues.
  • Prepare draft terms of reference and follow up on administrative actions.
  • Respond to information requests and organize meetings.
  • Prepare draft correspondence and reports.
  • Supervise project support staff.
  • Update databases of partners and stakeholders.
  • Establish and maintain filing management systems.
  • Support communication efforts for project reports and resource mobilization.
  • Document lessons learned and best practices.
  • Participate in training for operations/projects staff.
Required Experience
  • Minimum 6 years of relevant experience in project admin and management (with Secondary Education).
  • Minimum 3 years of relevant experience in project admin and management (with Bachelor Degree).
  • Relevant experience in administrative/procurement for development project.
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc).
  • Advance knowledge of spreadsheet and database packages.
  • Experience in working using web-based management systems.
  • Experience working using Government and UN/UNDP procedures would be highly desirable.
  • Experience in project implementation using Government or International Organization rules and regulation is an asset.
  • Experience in collecting, analyzing, and summarizing administration report would be highly desirable.
  • Experience supporting coordination with government counterparts, development partners, civil society, and consultants would be an asset.
  • Experience in draft correspondence, briefing notes, graphic and statistical summaries would be desirable.
  • Experience in coordination related with procurement activities would be desirable.
Qualifications
  • Secondary Education is required.
  • University degree (Bachelor’s Degree) in Accounting, Finance, Business Management, Public Administration, Economics, Political Sciences, Social Sciences, Management or relevant related fields will be given due consideration, but is not a requirement.
