Overview
The Programme Assistant performs a variety of secretarial, coordinating, monitoring, and administrative services in support of project/programme activities within the WHO country office.
Key Responsibilities
- Drafts correspondence and documents based on prompts from professional staff.
- Revises unit correspondence, reports, and documents for proper form and content.
- Takes notes at meetings and types reports.
- Arranges duty travel.
- Scans, records, refers, and follows up correspondence and documents.
- Informs and reminds staff of follow-up dates and deadlines.
- Updates supervisor and team members on program implementation status.
- Monitors project/programme budget levels and financial expenditures using ERP system.
- Assembles draft background for planning, monitoring, and evaluation exercises.
- Makes administrative arrangements for country and inter-country activities.
- Assists in the organization of meetings, including practical local arrangements.
- Provides administrative and secretarial support during meetings.
- Establishes and maintains the unit's filing system.
- Creates background files and compiles reference material.
- Responds to telephone inquiries and assesses the critical nature of technical inquiries.
- Coordinates appointments and organizes programmes for visitors.
- Provides briefing and guidance to staff on office practices and procedures.
- Assists/replaces colleagues and performs other related duties.
- Assists with the preparation of donor proposals and donor reports.
Required Experience
- At least 5 years of relevant experience in the administrative field or 3 years of relevant experience in the administrative field with a First level university Degree in public or business administration or any other relevant degree.
- Relevant experience in WHO or another UN agency an asset.
- Experience in Oracle-based or other ERP systems an asset.
Qualifications
- Essential: Completion of secondary school or its equivalent.
- Desirable: Higher education from an accredited educational institution an asset.
