Overview
The Protocol and Administrative Assistant supports the Regional office by performing a variety of standard protocol and administrative functions, ensuring high quality and accuracy of work. During the relocation transition period, this position will also support the Global Office.
Key Responsibilities
- Provide protocol services including managing data entry, record-keeping, and communication with the Host Country, drafting routine correspondence, and assisting with special arrangements for VVIPs.
- Coordinate notification to the host country government for staff arrivals/departures, issuance of diplomatic identity cards, personal identification numbers, and renewals.
- Process re-entry passes, entry permits, visa extensions, and Kenya entry visas.
- Process issuance/renewal of Kenyan driving licenses, vehicle registration, and transfers.
- Maintain a database on protocol-related status of UN Women personnel.
- Provide administrative support for daily facilities-related operations, workspace allocation, and logistics.
- Facilitate compound access and campus compliance, including issuance of Ground Passes.
- Support Finance team in processing VAT exemptions and claims.
- Coordinate and oversee delivery of goods and services.
- Provide administrative support for conferences and workshops.
- Support the Asset Focal Point in annual physical asset verification.
Required Experience
- At least 5 years of progressively responsible experience in administration, procurement, HR, or logistic support services.
- Experience in the usage of computers and office software packages (Online ERP, MS Office applications etc.) is required.
- Proven experience in the area of protocol or working with the Government partners is required.
Qualifications
- Completion of secondary education is required.
- Bachelor’s degree in Business Administration or related fields is an asset.
