Overview

The Protocol and Administrative Assistant supports the Regional office by performing a variety of standard protocol and administrative functions, ensuring high quality and accuracy of work. During the relocation transition period, this position will also support the Global Office.


Key Responsibilities
  • Provide protocol services including managing data entry, record-keeping, and communication with the Host Country, drafting routine correspondence, and assisting with special arrangements for VVIPs.
  • Coordinate notification to the host country government for staff arrivals/departures, issuance of diplomatic identity cards, personal identification numbers, and renewals.
  • Process re-entry passes, entry permits, visa extensions, and Kenya entry visas.
  • Process issuance/renewal of Kenyan driving licenses, vehicle registration, and transfers.
  • Maintain a database on protocol-related status of UN Women personnel.
  • Provide administrative support for daily facilities-related operations, workspace allocation, and logistics.
  • Facilitate compound access and campus compliance, including issuance of Ground Passes.
  • Support Finance team in processing VAT exemptions and claims.
  • Coordinate and oversee delivery of goods and services.
  • Provide administrative support for conferences and workshops.
  • Support the Asset Focal Point in annual physical asset verification.
Required Experience
  • At least 5 years of progressively responsible experience in administration, procurement, HR, or logistic support services.
  • Experience in the usage of computers and office software packages (Online ERP, MS Office applications etc.) is required.
  • Proven experience in the area of protocol or working with the Government partners is required.
Qualifications
  • Completion of secondary education is required.
  • Bachelor’s degree in Business Administration or related fields is an asset.

• Fluency in English is required.
Languages Preferred
• Knowledge of another UN official working language is desirable. • Knowledge of both official working languages in Kenya is desirable.
