Overview
The Supply Chain Assistant provides support in the Supply Chain department for efficient logistics implementation and smooth running of departmental operations, with an emphasis on supporting logistics/procurement staff and functions.
Key Responsibilities
- Ensure all orders are tracked from planning to receipt.
- Prepare procurement documents for goods and services.
- Evaluate bids and proposals.
- Jointly verify procured goods and equipment with programme staff.
- Perform procurement support functions such as collecting quotes.
- Ensure procurement is timely, cost-effective, and adequate.
- Communicate with related actors on procurement progression.
- Ensure compliance with DRC’s procurement principles, standards, policies, donor regulations, and local statutory requirements.
- Facilitate market assessments and update market records.
- Correctly apply ERP supply chain processes.
- Ensure appropriate archiving of procurement files.
- Maintain an updated suppliers’ registration record.
- Provide capacity building to SC Assistant(s), Programme Staff and National Partners’ staff in Supply Chain processes.
- Identify new suppliers and ensure they are vetted.
- Carry out regular monitoring and review of DRC suppliers’ list.
- Support the Support Services Team Leader and the Area Manager in filling donors’ assets reports, reports to the authorities and other ad-hoc reports.
- Perform any other SC related task as requested.
- Ensure compliance and implementation of Operations Handbook for fleet management.
- Coordinate with program and perform right sizing of fleet exercise.
- Ensure an effective fleet management practice.
- Ensure compliance and implementation of Operations Handbook on asset management.
- Prepare monthly comprehensive on Inventory/Assets and compile all reports.
- Ensure compliance and implementation of Operations Handbook on inventory and warehouse management.
- Organize training for program staff and warehouse staff on stock ownership, stock management, release and accountability of stock return.
- Provide monthly comprehensive country report on warehouse inventory.
- Arrange to receive/transport goods from site to final/other destinations.
- Keep track and updates of cargo status and shipments.
- Review and check transportation reports/waybills.
Required Experience
- Minimum 1 year of relevant work experience and in-depth knowledge of the context (local market) in Gedaref.
- Experience in administrative tasks, including filing systems.
- Experience with standard procurement procedures and documentation.
Qualifications
- University Degree or equivalent professional qualification.
- A supply chain-related qualification is an added advantage.
