Overview

The Administrative Assistant provides administrative support to the UN Resident Coordinator's Office (RCO) in Antananarivo, Madagascar, ensuring the efficient functioning of the front office and supporting various administrative, human resources, and financial tasks.


Key Responsibilities
  • Manages the RC's calendar, contacts, appointments, and meetings.
  • Coordinates missions, including travel arrangements and system approvals.
  • Prepares briefing packs and correspondence.
  • Screens calls and correspondence.
  • Assists with human resources, budget, finance, and general administration tasks.
  • Initiates, reviews, and processes human resource actions.
  • Responds to staff enquiries regarding entitlements and procedures.
  • Oversees maintenance of vacancy announcement files and processes personnel actions.
  • Monitors staffing tables and prepares statistical data.
  • Assists in budget and finance proposal preparation and expenditure monitoring.
  • Drafts routine correspondence and coordinates with service units.
  • Performs other related administrative duties, including contract administration and data analysis.
  • May guide, train, and supervise junior staff.
Required Experience
  • A minimum of seven (7) years of progressively responsible experience in administrative services, finance, accounting, audit, human resources, client services or related area is required.
  • The minimum years of relevant experience is reduced by two (2) years for candidates who possess a first level University degree.
  • Work experience with an Enterprise Resources Planning system (such as UMOJA) is desirable.
  • Work experience with the United Nations or similar international organization is desirable.
  • Work experience of one (1) year or more in data analytics or related area, is desirable.
Qualifications
  • Completion of High school diploma or equivalent, is required.
  • Additional certification or training on human resources, administration, audit, finance, management and/or event organization or a similar area, is highly desirable.
