Overview

Provides administrative and secretarial support to the Secretariat by assisting with document production, financial transactions, meeting and travel coordination, and stakeholder communication.


Key Responsibilities
  • Draft, edit, and format internal and external documents.
  • Assist with the preparation and distribution of documents for sessions.
  • Ensure accurate filing and archiving of documents.
  • Disseminate official communications to CC members.
  • Assist in managing the CC mail box and responding to member requests.
  • Maintain and update CC email distribution lists and contact databases.
  • Assist with budget monitoring and expenditure tracking.
  • Issue membership fee invoices and track payment status.
  • Process external expense invoices and mission reimbursements.
  • Process invoices and track outstanding payments.
  • Follow internal workflows and administrative procedures.
  • Assist with the orientation of interns and provide guidance.
  • Support intern recruitment processes.
  • Help organize physical or online meetings and webinars.
  • Handle meeting logistics, including invitations, agendas, and documentation.
  • Make official travel arrangements.
  • Assist in the organization of CC receptions and events.
Required Experience
  • Four years' initial experience as an assistant is required.
  • Experience in an international environment is desirable.
Qualifications

Achieved secondary school in secretarial training or training in the field of commerce, business administration or accounting (CFC type).

Languages Required
English or French is required.
Languages Preferred
Working knowledge of the other language (English or French) would be an asset. Working knowledge of another UN language would be an asset.
