Overview
Seeking an Administrative Assistant to support the operational and administrative activities related to the implementation and enforcement of the AI Act.
Key Responsibilities
- Support administrative and operational activities related to AI Act implementation and enforcement;
- Assist with document management, filing, registration, archiving, and maintenance of records and internal databases;
- Support the organisation and tracking of case-related documentation, requests, deadlines, and procedural workflows;
- Contribute to coordination activities, including scheduling meetings, preparing administrative documents, and supporting internal reporting;
- Assist with handling correspondence and communications with Member States, companies, candidates and other stakeholders;
- Support HR management activities, including coordination with the relevant HR services and recruiting teams;
- Assist with the practical organisation of recruitment processes, including calls for expression of interest, screening of applications, interviews, and follow-up with candidates;
- Provide general administrative support to the team, including logistical and organisational tasks linked to enforcement activities.
Required Experience
At least 2 years in administrative support, document management, business administration, public administration, human resources support, recruitment coordination, or another relevant domain. This experience can be obtained prior to the relevant diploma.
Qualifications
Completed post-secondary studies attested by a diploma in document management, business administration, public administration, human resources, organisational management, or another relevant domain.
