Overview

Provides programme, administrative, and logistical assistance to the Programme Team for smooth programme implementation, reporting to the Head of Programmes.


Key Responsibilities
  • Provide administrative and logistical support for programme formulation and management, including work plans, budgets, and fund tracking.
  • Support executing partners on routine delivery and reporting.
  • Assist with programme/project audits and implementation of recommendations.
  • Gather and compile data for documents, guidelines, speeches, and position papers.
  • Provide administrative support for financial management, including project creation, budget revisions, and financial close.
  • Monitor and prepare programme/project budgets and finances, and prepare FACE forms.
  • Process payments for consultants and suppliers.
  • Create requisitions and register good receipts in the Quantum system.
  • Undertake logistical, administrative, and financial arrangements for meetings, workshops, events, and missions.
  • Make travel arrangements for the Programme Team.
  • Draft meeting minutes.
  • Assemble briefing materials and prepare presentations.
  • Organize and coordinate filing of documents and maintain mailing lists.
  • Organize, compile, and process documentation and information from donors and the programme team for databases and documents.
  • Provide administrative support for organizing trainings on programme and operations issues.
  • Perform other duties as deemed necessary.
Required Experience
  • At least 5 years of progressively responsible experience in administrative or programme management/support is required.
  • Experience in working in a computer environment using multiple office software packages is required.
  • Experience in the use of ERP systems, preferably Oracle Cloud, is desirable.
  • Experience in supporting a team is desirable.
Qualifications
  • Completion of secondary education is required.
  • Bachelor’s degree in business or public administration is desirable.
