Overview
Implement and monitor logistics systems, ensuring administrative procedures and standards are followed for order follow-up, stock keeping, and dispatch. Coordinate transportation requirements and maintain supplier relations.
Tasks Summary
- Implement and monitor logistics systems
- Ensure administrative procedures for order follow-up, ordering, stock keeping, and dispatch
- Coordinate transportation service providers
- Assist in developing relations with suppliers
- Open and maintain logistics, procurement files, and databases
- Keep a record of expenditures, receipts, requisitions, and purchase orders
- Prepare and submit weekly logistics reports
- Report monthly on logistics activities
- Support transportation of goods and staff
- Follow-up on pending logistics issues
- Assess and evaluate warehouse locations and setup systems
- Put in place controls for receipt, storage, picking, and despatching of goods
- Select appropriate transport modes and vehicles
- Handle minor procurement activities
- Ensure accurate delivery to sites/warehouses
- Post distribution follow-up and reconciliation
- Coordinate with suppliers, shipping agents, warehouse management, authorities, and representatives
- Communicate with stakeholders throughout delivery/release
- Prepare service requests and follow up on inventory/reconciliation visits
- Follow up on facilitation letters for transportation
- Ensure adherence to health and safety procedures
- Perform other related tasks
Experience Requirements
- Minimum 2 to 3 years of relevant experience in similar functions with NGOs/Private Sector
- Experience in minimum two of the following areas: warehousing/fleet/procurement/ facility administration
- At least one year relevant experience in similar functions within INGO is desirable
Qualification Requirements
- University/College qualification, minimum bachelor’s degree
- Any relevant degree in Business administration or Economic is desirable
