Overview

Implement and monitor logistics systems, ensuring administrative procedures and standards are followed for order follow-up, stock keeping, and dispatch. Coordinate transportation requirements and maintain supplier relations.

Tasks Summary
  • Implement and monitor logistics systems
  • Ensure administrative procedures for order follow-up, ordering, stock keeping, and dispatch
  • Coordinate transportation service providers
  • Assist in developing relations with suppliers
  • Open and maintain logistics, procurement files, and databases
  • Keep a record of expenditures, receipts, requisitions, and purchase orders
  • Prepare and submit weekly logistics reports
  • Report monthly on logistics activities
  • Support transportation of goods and staff
  • Follow-up on pending logistics issues
  • Assess and evaluate warehouse locations and setup systems
  • Put in place controls for receipt, storage, picking, and despatching of goods
  • Select appropriate transport modes and vehicles
  • Handle minor procurement activities
  • Ensure accurate delivery to sites/warehouses
  • Post distribution follow-up and reconciliation
  • Coordinate with suppliers, shipping agents, warehouse management, authorities, and representatives
  • Communicate with stakeholders throughout delivery/release
  • Prepare service requests and follow up on inventory/reconciliation visits
  • Follow up on facilitation letters for transportation
  • Ensure adherence to health and safety procedures
  • Perform other related tasks
Experience Requirements
  • Minimum 2 to 3 years of relevant experience in similar functions with NGOs/Private Sector
  • Experience in minimum two of the following areas: warehousing/fleet/procurement/ facility administration
  • At least one year relevant experience in similar functions within INGO is desirable
Qualification Requirements
  • University/College qualification, minimum bachelor’s degree
  • Any relevant degree in Business administration or Economic is desirable
