Overview
Provides reliable and safe driving services to the UNDP Resident Representative and other UN officials and visitors, ensuring discretion, integrity, and knowledge of protocol and security issues. May also provide driving services to other staff, consultants, and experts.
Tasks Summary
- Transport Resident Representative or other UN visitors or officials applying appropriate protocols
- Deliver and collect mail and documents and perform other messenger responsibilities
- Meet official personnel and visitors at the airport and assist with visa and customs formality arrangement when required
- Take all immediate actions required by rules, regulations, and laws in case of involvement in accidents; follow up and ensure that all security rules and regulations are implemented
- Collect consignments from customs as required
- Support with delivery of items, pouch, procurement and other logistics tasks.
- Maintain accurate daily vehicle logs
- Provide inputs to preparation of the vehicle maintenance plans and reports, ensure cost-savings through proper use of assigned vehicles, ensuring timely and adequate maintenance, keeping track and monitoring of data pertaining to the assigned vehicles’ regular servicing, monitoring of fuel consumption
- Make timely minor repairs and/or arrange for major repairs
- Ensure timely changes of oil, check of tires, brakes, car washing, etc.
- Keep current vehicle documents such as vehicle insurance, vehicle logs, office directory, and map of the city/country
- Ensure vehicle first aid kit is adequately stocked with standard medical supplies.
- Prepare routine correspondence, memoranda and reports in accordance with Country Office Standard Operating Procedures (SOP) as requested by the Operations Manager
- Serve as the focal point for mobile telecommunications service providers, ensuring effective coordination, issue resolution, and continuity of services
- Maintain and regularly update an inventory furniture and equipment and other items ensuring accountability, proper allocation, and compliance with internal control requirements
- Support administrative tracking and record-keeping, including filing, archiving, and document management, in line with UNDP policies and audit standards
- Perform other administrative and operational support tasks as required to ensure the smooth and efficient functioning of the Country Office.
Experience Requirements
- Minimum 3 years of relevant work experience as a driver with a safe driving record is required
- Knowledge of driving regulations, rules and laws.
- Experience in driving high level officials and in applying protocols and security requirements
- Previous work experience with UN, international organization or diplomatic mission
- Experience in minor vehicle repair and maintenance
- Experience in the basic use of computers and relevant office software packages (MS Word, Excel) and ability to use web-based management and electronic log, file and/or scheduling systems.
Qualification Requirements
• Secondary Education with a valid driver’s license is required.
