Overview

The Information Management Assistant is responsible for supporting the Records Management and Quality Control Unit in managing archives, records, and documents, ensuring compliance and facilitating access.

Tasks Summary
  • Facilitates periodic transfer of scheduled records into Archives.
  • Oversees records accessioning operations.
  • Oversees records center operations.
  • Oversees disposals.
  • Oversees contractually stored records.
  • Oversees archival arrangement and description operations.
  • Undertakes archival arrangement and description projects.
  • Oversees reference and research operations.
  • Provides curatorial and database management for artworks and archival photograph collections.
  • Coordinates access and declassification reviews.
  • Conducts research and document retrieval.
  • Coordinates ordering, tracking, and delivery of documents.
  • Maintains and reports on service statistics and workload metrics.
  • Manages and monitors multiple document intake channels.
  • Performs quality control and validation of incoming separation documents.
  • Liaises with member organizations and clients for documentation follow-up.
  • Ensures supporting documentation compliance.
  • Guides and supervises more junior General Service Staff.
  • Provides administrative support.
  • Assists with data collection, analysis, and preparation of presentations and reports.
  • Assists with visualizations and updating information material.
Experience Requirements
  • A minimum of 7 years of experience in archives, electronic records management or related area is required. The minimum years of relevant experience is reduced to five for candidates who possess a first level university degree or higher.
  • Experience in performing transactions using ERP systems, such as IPAS or similar systems, is required.
  • Experience in the field of pension administration is desirable.
  • Experience within the United Nations common system is desirable.
  • At least one year experience in data analytics or related area is desirable.
Qualification Requirements

High school diploma or equivalent.
