Overview
Provides support for information management systems and electronic record keeping. Assists with archives, records management, and document processing.
Tasks Summary
- Provides applications support and troubleshooting for Unit staff.
- Conducts end-user training relating to electronic record keeping systems.
- Registers incoming and outgoing records in electronic record keeping system.
- Manages Separation Inbox and MSS Uploaded documents.
- Participates in Quality Control by vetting incoming documents.
- Maintains paper-based and electronic central file system.
- Participates in records management projects, assembles records and creates electronic file lists.
- Assists in accessioning, disposition, description, and database updating activities.
- Satisfies requirements for procurement, payment and inspection of goods and services.
- Performs clearinghouse functions concerning maintenance of accession, disposal and location elements of the Unit database.
- Supports disposition operations by liaising with records-originating offices.
- Creates and maintains manual accession records.
- Oversees internal records retrieval, loan, reproduction and staff clearance operations.
- Supports external reference services by drafting routine responses to enquiries.
- Participates in maintaining the Unit’s reference database.
- Processes CE Signature Verification, Thumbprint and guardianship Cases.
- Liaises with document processing services.
- Orders and follows-up on shipment of documents, reference materials, stationery and necessary equipment.
- Provides document delivery services as required.
- Conducts research as requested by more senior staff.
- Provides relevant technical support to users of information services.
- Provides administrative support for the Unit and Section Chiefs.
- Assists with the collection and analysis of data and preparation of data presentations and reports.
- Assists with visualizations and updating information material.
Experience Requirements
- A minimum of five (5) years of experience in archives, electronic record management or related area is required. The minimum years of relevant experience is reduced to three (3) for candidates who possess a first-level university degree or higher.
- Experience in performing transactions using ERP systems, such as IPAS or similar systems, is required.
- Experience in records management in pension administration is desirable.
- Experience within the United Nations common system is desirable.
- At least one year of experience in data analytics or related area is desirable.
Qualification Requirements
High school diploma or equivalent.
