Overview
Provide administrative, logistics, and operational support for meetings, travel, procurement, and event management to ensure smooth daily operations of the Coordination Cell.
Tasks Summary
- Provide general administrative support to the Coordination and Operations Cell (COC), including managing correspondence, filing documents, and maintaining records.
- Assist in the preparation of meeting agendas, minutes, and other relevant documents.
- Support the Program Manager and consultants with travel arrangements, visa applications, and other logistical requirements.
- Maintain and update databases and contact lists.
- Respond to routine inquiries from stakeholders and provide information as needed.
- Coordinate logistical arrangements for meetings, workshops, and other events, including venue booking, catering, and equipment setup.
- Assist in the procurement of office supplies and equipment, ensuring compliance with UNOPS procurement procedures.
- Manage inventory of office supplies and equipment, and ensure timely replenishment.
- Coordinate the distribution of documents and materials to relevant stakeholders.
- Support the organization of workshops and training sessions, including participant registration, material preparation, and logistical support.
- Ensure the smooth daily operations of the Coordination Cell, including maintaining a clean and organized workspace.
- Assist in the preparation of budget estimates and expense reports.
- Process invoices and payment requests in accordance with UNOPS financial regulations.
- Maintain accurate records of expenditures and ensure proper documentation.
- Support the implementation of administrative policies and procedures.
- Assist in the compilation of reports and presentations related to the Health Sector Reform Programme.
- Maintain a systematic filing system for all project-related documents.
- Ensure that all documents are properly archived and easily accessible.
- Support the preparation of progress reports and other project deliverables.
Experience Requirements
- 4 years of experience in Administration, logistics, or a related field.
- Experience working in the health sector or with international organizations is an asset.
Qualification Requirements
- Secondary school or high school diploma with 4 years of relevant experience.
- Bachelor’s degree (or equivalent) in business administration, commerce, management, economics or any relevant discipline is an asset.
