Overview

The Procurement Assistant will support the administrative and procurement implementation of projects and initiatives for UN-Habitat in Brazil, reporting to the Head of Brazil Office.

Tasks Summary
  • Support administrative implementation of projects and initiatives.
  • Support procurement processes for goods, services, and works.
  • Plan, manage, and monitor procurement activities.
  • Support preparation of procurement documentation.
  • Support procurement planning with teams.
  • Help vendor sourcing, market research, and supplier evaluations.
  • Monitor contract implementation.
  • Maintain procurement records.
  • Provide guidance on procurement procedures.
  • Identify procurement risks and propose mitigation measures.
  • Contribute to continuous improvement of procurement processes.
  • Assist in budget planning, monitoring, and revisions.
  • Support and follow up on financial transactions.
  • Maintain financial and administrative records.
  • Organize and archive project administration documents.
  • Support teams through audits and compliance checks.
  • Monitor financial reporting timelines and contribute to financial reports.
  • Support audits and financial reviews.
  • Be responsible for inventory and warehouse management.
  • Write official letters in Portuguese.
  • Be responsible for keeping information organized and accessible.
  • Participate in missions as requested.
  • Carry out other activities requested by the Head of Office and/or Program Officer.
  • Prepare reports to partners and internal reports.
  • Perform other duties requested by the supervisor.
  • Complete indicated courses and training activities.
  • Comply with United Nations security mechanisms.
Experience Requirements
  • A minimum of three (3) years of experience in program implementation and projects in public administration or international organizations, administrative and financial issues, and/or related areas is required.
  • Demonstrated experience in administrative and finance is required.
  • Work experience within the United Nations System is desirable.
  • International experience is desirable, particularly in the field of international cooperation for development, urban development, and project management.
Qualification Requirements

• Bachelor’s degree in International Relations, Public Administration, Administration, Economics, or related fields is required, or additional three (3) years of relevant experience to the post, beyond the requirement.

Other Details

Languages Required: • Fluency in Portuguese is required.

Languages Preferred: • Working knowledge of English and/or Spanish is desirable.

Contract Duration: Six (6) months, with possibility of renewal

Work Modality:

Remuneration: SB-3 UNDP Brazil Salary Scale
