Overview

The Human Resources and Administrative Coordinator supports field operations by providing guidance on HR and Admin matters, including employee relations, contract management, orientation, recruitment, and policy interpretation. The role holder may be expected to work outside the normal role profile in major humanitarian emergencies.

Tasks Summary
  • Plan and manage end-to-end recruitment processes, ensuring adherence to safe recruitment standards.
  • Conduct induction and onboarding for new joiners.
  • Prepare, review, and maintain staff contracts and letters.
  • Ensure accurate and secure maintenance of staff records.
  • Oversee distribution of insurance cards and processing of claims, reimbursements, and schooling allowance submissions.
  • Follow up on NSSF related issues and ensure compliance with national regulations.
  • Identify and mediate workplace conflicts.
  • Assist in audit requests by providing HR documentation.
  • Monitor and ensure timely submission and accuracy of electronic timesheets and reconcile leave balances.
  • Support staff performance assessments and track review submissions.
  • Conduct exit interviews.
  • Support initiatives to promote staff well-being and engagement.
  • Ensure legal compliance and SCI minimum standards in HR processes.
  • Conduct assessments for partners to identify HR strengths, weaknesses, and areas for improvement.
  • Provide guidance and support to partners on HR best practices.
  • Provide guidance, leadership, and supervision to the HR and Admin team.
  • Conduct regular visits to centers to identify HR process needs and areas for improvement.
  • Ensure operation of office equipment and maintain inventory of office supplies.
  • Handle petty cash and prepare payment requests.
  • Set up and coordinate meetings and workshops.
  • Manage communications and direct them as necessary.
  • Make logistical arrangements for staff, visitors, partners, donors, and consultants.
  • Coordinate hotel accommodation.
  • Gather requests for postpaid phone line, IDs, and business cards.
  • Develop and implement budget forecasts for Admin expenses.
Experience Requirements

3 to 5 years’ experience in Human Resources function, preferably in the NGO sector.
