Overview
Assist in the day-to-day implementation of Logistics functions' responsibilities, ensuring compliance with organizational policies and procedures to meet operational needs.
Tasks Summary
- Ensure compliance with organizational logistics, procurement, fleet, and warehouse policies and procedures.
- Support effective planning, coordination, and implementation of logistics activities.
- Maintain accurate records, documentation, and reporting systems.
- Promote transparency, accountability, and efficiency in all logistics processes.
- Coordinate closely with program teams and support departments.
- Identify operational risks and propose practical improvements.
- Uphold safety, security, and safeguarding standards.
- Contribute to capacity building and knowledge sharing.
- Ensure proper asset care and responsible use of organizational resources.
- Plan, initiate, and manage procurement processes.
- Prepare and process purchase requisitions, RFQs, ITBs, RFPs, bid analysis, purchase orders, and contracts.
- Conduct market assessments and maintain updated supplier/vendor databases.
- Liaise with suppliers to ensure timely delivery of goods and services.
- Support contract management.
- Oversee daily fleet operations.
- Ensure vehicles are properly allocated, scheduled, and utilized.
- Monitor vehicle logbooks, fuel consumption, mileage, and maintenance records.
- Coordinate preventive maintenance, servicing, and repairs.
- Ensure valid insurance, road licenses, and vehicle documentation.
- Promote safe driving practices and compliance with fleet policies.
- Support driver supervision, training, and performance monitoring.
- Handle goods receipts and properly store them.
- Maintain accurate and timely record-keeping.
- Ensure storage areas are kept clean and organized.
- Report and update on stock balance weekly, monthly, and quarterly.
- Carry out daily, weekly, and monthly stock reconciliations.
- Report any obsolete, damaged, loss, or missing items.
- Conduct inventory control/check periodically through physical count.
Experience Requirements
- 3 and above years’ work experience as a Logistic Assistant or similar role
- Basic experience from working as a logistic assistant in a humanitarian/recovery context
- Previous experience from working in complex and volatile contexts
Qualification Requirements
• Bachelor’s degree in Logistics and Supply Chain Management or related disciplines
