Overview

Assist in the day-to-day implementation of Logistics functions' responsibilities, ensuring compliance with organizational policies and procedures to meet operational needs.

Tasks Summary
  • Ensure compliance with organizational logistics, procurement, fleet, and warehouse policies and procedures.
  • Support effective planning, coordination, and implementation of logistics activities.
  • Maintain accurate records, documentation, and reporting systems.
  • Promote transparency, accountability, and efficiency in all logistics processes.
  • Coordinate closely with program teams and support departments.
  • Identify operational risks and propose practical improvements.
  • Uphold safety, security, and safeguarding standards.
  • Contribute to capacity building and knowledge sharing.
  • Ensure proper asset care and responsible use of organizational resources.
  • Plan, initiate, and manage procurement processes.
  • Prepare and process purchase requisitions, RFQs, ITBs, RFPs, bid analysis, purchase orders, and contracts.
  • Conduct market assessments and maintain updated supplier/vendor databases.
  • Liaise with suppliers to ensure timely delivery of goods and services.
  • Support contract management.
  • Oversee daily fleet operations.
  • Ensure vehicles are properly allocated, scheduled, and utilized.
  • Monitor vehicle logbooks, fuel consumption, mileage, and maintenance records.
  • Coordinate preventive maintenance, servicing, and repairs.
  • Ensure valid insurance, road licenses, and vehicle documentation.
  • Promote safe driving practices and compliance with fleet policies.
  • Support driver supervision, training, and performance monitoring.
  • Handle goods receipts and properly store them.
  • Maintain accurate and timely record-keeping.
  • Ensure storage areas are kept clean and organized.
  • Report and update on stock balance weekly, monthly, and quarterly.
  • Carry out daily, weekly, and monthly stock reconciliations.
  • Report any obsolete, damaged, loss, or missing items.
  • Conduct inventory control/check periodically through physical count.
Experience Requirements
  • 3 and above years’ work experience as a Logistic Assistant or similar role
  • Basic experience from working as a logistic assistant in a humanitarian/recovery context
  • Previous experience from working in complex and volatile contexts
Qualification Requirements

• Bachelor’s degree in Logistics and Supply Chain Management or related disciplines
