Overview

The Finance and Budget Assistant will be responsible for reviewing payment instructions, preparing and disbursing payments, recording cash transactions, and assisting with budget proposals and performance reports.

Tasks Summary
  • Reviews incoming payment instructions with regard to banking details and sources of funds and prepares, disburse and release payments by cheques, cash or wire transfer; assist with exception payments for corrective actions Dispatches payment instructions and cheques to banks.
  • Record incoming cash and outgoing cash in ERP (UMOJA) to/from the cashier’s imprest and ensures cash in vault is replenished timely to avoid shortage of cash.
  • Prepares supporting documents (narrative and supporting tables) with respect to finalizing of cost estimates and budget proposals; Assists the supervisor/s in the elaboration of resource requirements for budget submissions.
  • Assists in monitoring extra-budgetary resources, including review of agreements and cost plans, ensuring compliance with regulations and rules and established policies and procedures.
  • Assists in preparation of budget performance submissions and finalization of budget performance reports, analyzing variances between approved budgets and actual expenditures.
  • Assists and processes the mission's redeployment of fund requests in accordance with the established procedures.
Experience Requirements

A minimum of five years of experience in accounting, finance, budget, administrative services or related area is required. The minimum years of relevant experience is reduced to three years for candidates who possess a first-level university degree or higher. Experience in the use of Enterprise Resource (ERP) systems, such as Umoja, SAP, or equivalent is required. Experience in processing payroll, vendor/travel claims settlement in an international organization is desirable. Experience using a Customer Relationship Management tool such as iNeed is desirable. Experience with Staff Rules and Regulations including entitlements and Financial Regulations, Rules and procedures of the United Nations or similar international organization is desirable.

Qualification Requirements

High school diploma or equivalent is required.
